Email AI that links procurement to your campaign

When inbound emails land in your campaign inbox, Paddle-Up can analyze each thread against live campaign data—orders, tickets, meals, donated items, and procurement—and propose links and next steps so staff spend less time manually matching donors to the right records.

Procurement and donor relations run on email, but the answers live in your campaign workspace: who donated what, which ticket bundle a gift is tied to, whether fulfillment is complete, and what a parent ordered for dinner. Email AI is built for that gap—reading the thread in context and surfacing recommendations your team can approve before anything changes.

What happens on each inbound email

Messages that arrive at your campaign's inbound address are queued for analysis when your organization has AI tokens and the feature is enabled for the campaign. The model reads the thread, sender history, and live campaign records—then classifies intent and proposes actions inside the email manager.

  • Thread context plus recent CRM interactions for the sender
  • Linked entities surfaced next to the conversation—orders, items, attendees, and more
  • Optional draft reply language staff can edit before sending

Procurement-first examples

The assistant is tuned for auction procurement triage—connecting donor and vendor email to the records your team already maintains:

  • Link donations and procurement: propose tying a thread to the right donated item or ticket/bundle procurement
  • Update fulfillment: suggest pickup, drop-off, or shipping status changes from donor replies
  • Orders, attendees, and meals: connect ticket questions to orders, seating, and meal selections when parents ask about admission or dinner choices
  • Draft replies with real links: propose customer-facing language that includes order-edit or payment links when appropriate—not invented IDs or placeholder URLs

Staff stay in control

Email AI recommends—it does not silently change your data. Each proposed action appears in the email manager for approve or reject, and staff can adjust details before approval. That complements the manual edits you already make from email threads: auction items, form submissions, and purchased tickets.

Serious decisions—refunds, financial approvals, and what you publish under your organization's name—remain yours. Treat AI-generated drafts like a first pass from a well-informed teammate and verify facts before you hit send.

AI tokens & billing

Procurement email AI is not included for free—each inbound analysis consumes AI tokens from the same organization balance you use for the AI Assistant. Purchase tokens when you want automatic triage on campaign inbox mail; analysis is skipped when the feature is disabled or credits are unavailable. There is no separate email-AI subscription tier.

One transparent rate—Stripe processing plus 0.1% + $0.15 per transaction. AI is pay-as-you-go when you use the assistant—purchase tokens per organization. The models we run are not cheap; including unlimited AI in our low per-transaction fee would not be sustainable.
